CONFERENCE TERMS AND CONDITIONS

Submission of an online registration is regarded as a firm booking (subject to availability) and acceptance of these terms and conditions.

DEFINITIONS

These Terms & Conditions for delegates apply to every person registering as a regular delegate for the Conference

CONFERENCE REGISTRATION

Only fully completed registration forms will be accepted. An invoice will be sent after the receipt of your registration, a confirmation of payment will be sent upon receipt of payment in full. If the full payment has not been received before the deadline indicated, the registration will remain valid, however the due fee will be increased according to the payment period (early/regular/on site).

The conference organizers cannot guarantee that a conference bag and other conference materials will be available for late registrations. All conference materials will be distributed on-site.

If the maximum delegate capacity is reached, the conference organizers reserve the right to refuse additional registrations.

REGISTRATION CONFIRMATION/RECEIPT

A registration confirmation/receipt will be sent by email after the online registration, a related payment and any necessary documents have been received by the registration department.

REGISTRATION NAME CHANGE

A handling fee of EUR 50.– will be charged for every name change to an existing conference registration. A new registration form for the substitute delegate should NOT be submitted. Name changes will be accepted by email indicating the old and new names.

ADJUSTMENT OF REGISTRATION FEES

After a delegate’s registration is completed, IMG Bulgaria reserves the right to review the information provided by the delegate and adjust the registration ticket type and fee if it is found that the information provided by the attendee has been misrepresented, false or incorrect. Any adjustment to fees will be charged directly to the payment method on file.

CREDENTIALS

The organizers – issued credentials are the sole property of the Conference Organizer and must be surrendered upon demand to the organizers representatives.  The organizers – issued credentials must be prominently displayed while at the conference or designated off-site activities.  False certification of an individual as an attendee or exhibitor’s representative, misuse of an attendee badge, or any other method or device used to assist unauthorized personnel to gain admittance to the conference and/or exhibit floor, will be just cause for expelling the attendee and his representative(s) from the conference and/or banning them from future entrance into the conference.  This would also warrant the removal of the exhibitor’s booth from the floor without obligation on the part of the organizers    for refund of any fees.  The attendee, exhibitor, his/her employees and agents, and anyone claiming to be in the conference through the attendee, waives any rights or claims for damages arising out of the enforcement of this rule.

ADMITTANCE

In its sole discretion and without refund, the organizers reserves the right to refuse admittance to or expel from the conference anyone that it determines is behaving in a manner that could be disruptive to the conference or any other attendee.

INSURANCE

It is the responsibility of the attendee to arrange appropriate insurance cover in connection with their attendance at the conference.

The organizers cannot be held liable for any loss, liability or damage to personal property.

VISA REQUIREMENTS / INVITATION LETTER

It is the attendee’s sole responsibility to take care of visa requirements.  If you require an entry visa, you must allow sufficient time for the visa application procedure.  Your registration details might be shared with the immigration authorities to assist in the immigration process. However, the organizers    will not contact embassies and consulates on your behalf. To receive an invitation letter for the Conference, you must first register and pay the registration fees in full. PRICES AND PAYMENT

Our prices for attending the conference, and for purchasing the documentation pack for the conference, are set out on the relevant registration booking form or the relevant purchase order form or can otherwise be obtained from us upon request or from our website. Prices may be subject to change from time to time.

PAYMENT

Please note that payment of all fees must be made in full and in cleared funds within 30 days of the submission of your registration. If you submit your registration less than 30 days prior to the first day of an event, then payment of all fees must be made in full and in cleared funds prior to attending the event.

All bookings made prior to the conference must be paid in full to guarantee registration. Once payment has been received, an email confirmation and a receipted invoice will be sent. If payment is not made at the time of booking, registration will be provisional. Bookings received less than (2) two weeks before the conference date can only be paid by credit card.

Early Bird Rate: In order to qualify for any “early bird” rates or discounts, booking and payment must be received before the deadline date listed in the conference marketing material.

METHODS OF PAYMENT

Payments should be made in advance and in EUR only.

All bank fees and money transfer costs must be paid by the transmitter. Indicate the registration number and the delegate’s full name as a reference on all bank transfers.

VAT

Value Added Tax (VAT) is payable by all delegates whether from Bulgaria or overseas, save where they produce in advance a valid VAT exemption certificate.. A tax invoice/receipt will be issued to those indicating that this is required on the registration form.

CANCELLATION POLICY

In the case of over-payment or double payment, refund requests must be made in writing and sent to the Conference Registration Department, by email.

No refunds will be given in respect of any cancellations, non-attendance, in case of cancellation of speakers, lack of space in the conference room or any other incidents.

CHANGES TO THE CONFERENCE AND CANCELLATIONS

It may be necessary for reasons beyond our reasonable control to alter the advertised content, timing and/or location of the conference or the advertised speakers. We reserve the right to do this at any time.

Where we alter the time and/or location of the conference, we will provide you with notice of the same and will offer you the choice of either a credit for a future event of your choice (up to the value of sums paid by you in respect of the conference) or the opportunity to attend the conference as varied.

 EVENT CANCELLATION

 The organizers serves the right to cancel any event at any time and at its sole discretion. In the event of such a cancellation, the organizers will refund any registration fees paid, direct to the delegate upon proof of purchase, and this refund shall be the full extent of the organizer’s liability to the delegate.

DISCLAIMER

The organizers  may at any time, with or without giving notice, in its absolute discretion and without giving any reason, change, cancel or postpone the conference, change its venue or any of the other published particulars, or withdraw any invitation to attend. In any case, neither the organizers   nor any of its officers, employees, agents, members or representatives shall be liable for any loss, liability, damage or expense suffered or incurred by any person, nor will they return any money paid to them in connection with the conference unless they are satisfied not only that the money in question remains under their control, but also that the person who paid it has been unfairly prejudiced, about which the decision shall be in their sole and unfettered discretion and, when announced, final and conclusive.

DATA PROTECTION

By submitting registration details, delegates agree to allow the organizers and companies associated with the conference to contact them regarding their services. Delegates who do not wish to receive such communications please contact the events team here. The contact details of registered delegates will be placed on the attendee list which will be passed to sponsoring companies and to all attendees for them to see who is at the conference for the purpose of networking and meetings. Delegates who do not wish to be included on this list should advise the organizers at the time of booking.

WEBSITES & LINKS

The conference and associated The organizers websites may link to other websites and networking tools provided for the convenience of the users. The contents of these websites are maintained by their owners, for which the organizers takes no responsibility. Neither can responsibility be taken for contents of any website linking to this website.

SPEAKERS

Views expressed by speakers are their own. The organizers cannot accept liability for advice given, or views expressed, by any speaker at the conference or in any material provided to attendees. The organizers may use the speaker’s name and presentation materials for promoting attendance at the conference. Presentations and papers including all associated artwork and illustrations will not be returned unless specifically requested by the author. The papers must be objective and completely free of advertising and commercialism. The organizers may audio and/or video tape the speaker’s session and the recording may be reproduced and sold as part of the overall conference materials. The organizers may reproduce copies of the speaker’s presentation (eg. PowerPoint slides or supporting handouts) on paper and/or electronically and these may be sold as part of the overall hand-out materials during the conference and after the event. Any acknowledgement regarding Copyright or support should be included at the end of the abstract/presentation, as these will be distributed to the conference delegates. Speakers who do not wish to give permission for the above terms and conditions should contact the events team before the commencement of the conference.

PHOTOGRAPHS, PUBLICITY MATERIAL, RADIO AND TELEVISION AND PRINT MEDIA

The organizers reserves the sole right to use any photographs, recordings, electronic images or publicity material received by or obtained by the organizers  in the course of the event, for whatever use deemed proper by the organizers . The organizers  has the exclusive right to include photographic, video and other visual portrayals of Attendees, Sponsors, Exhibitors and their Exhibits including its contents, in any pictorial medium of any nature whatsoever for the purpose of trade, advertising, sales, publicity and otherwise, without compensation to to the Attendee, Sponsor or Exhibitor, and all rights titled and interest bearing (including all worldwide copyrights therein) will be The organizer’s sole property, free of any claims of Attendee, Exhibitor or Sponsor or any persons deriving any rights or interest from the Attendee, Exhibitor or Sponsor.

FORCE MAJEURE

The organizers shall not be held responsible for any delay or failure in performance of its obligations hereunder to the extent such delay or failure is caused by fire, flood, strike, civil, governmental or military authority, acts of God, acts of terrorism, acts of war, epidemics, the availability of the Venue or other similar causes beyond its reasonable control and without the fault or negligence of the organizers    or its subcontractors.  For one or more of such reasons, the organizers   may postpone, reschedule or cancel the event without liability on the part of the organizers. In the event the conference cannot be held or is postponed pursuant to this section, the organizers   shall not be liable to attendee for any damages, costs, or losses incurred, such as transportation costs, accommodations costs, or financial losses.  The organizers will review refund and/or fee transfer requests, submitted in writing, for approval on a situational basis.
